The Problem
Healthcare receptions are overwhelmed. Patients wait on hold, calls go unanswered after hours, and reception staff spend most of their time on repetitive inquiries that don't require human judgment.
The client needed a way to handle the majority of inbound calls autonomously — while maintaining a warm, professional, human-like interaction quality.
Our Solution
We built a Voice AI reception agent that answers inbound patient calls around the clock. The agent handles natural, flowing conversation — asking clarifying questions, booking appointments into the scheduling system, answering common FAQs, collecting patient information, and escalating to a human for situations that require one.
The voice was designed for warmth and clarity — not robotic TTS. Using ElevenLabs for voice synthesis and Deepgram for transcription, the conversation feels natural. The underlying LLM understands context, manages conversation state, and handles interruptions gracefully.
The system is integrated with the clinic's scheduling platform via API, so bookings are confirmed in real time during the call.
